Job Summary: The Assistant will provide administrative, communications and project management support in all facets of the daily business routine for members of the Discovery Leadership Team. We are looking for a team player with a positive attitude and the drive to use all resources at your disposal with minimal supervision. The candidate must thrive in a fast-paced environment and work well under the pressure of multiple requests within tight timelines. We need a self-starter who can come in and hit the ground running.

Key Responsibilities: 

  • Extensive and fluid calendar management for multiple team members
  • Proactively schedule meetings, external calls, internal events and handle all logistics
  • Work with firm team of assistants in providing the best possible outcome for all internal requests
  • Create and manage POs and e-signatures through DocuSign
  • Book domestic and international travel
  • Prepare and submit expense reports using Concur in a timely fashion
  • Register team for conferences, book hotels, etc.
  • Send FedEx, mail, fax, copying, answer phone calls
  • Assist team with general administrative tasks and activities
  • Ad hoc projects as assigned

Qualifications:

  • Bachelor's degree preferred
  • Minimum of 5-7 years supporting senior-level executives or a team of professionals preferably in the Pharmaceutical/Biotech industry, Finance/Investment industry or at a start-up
  • Demonstrate alignment with company values and culture
